There are many reasons you may need to complain goods you ordered were delivered late or damaged, you received bad service in a hotel, you were overcharged for something you bought, and so on. Whatever the case, you'll get the best results if you sandwich your complaints between two positive statements.
This is how to do it.
| The 4 steps of sandwiching complaints:
- If possible, start by saying something positive.
- Describe exactly what went wrong.
- Say how you would like the recipient to react.
- End with an expression of good-will.
Useful phrases for writing complaints Complaining about a delivery
The goods were examined on arrival and found to be damaged. We have so far always been more than satisfied with the quality of your goods. You have unfortunately sent us the wrong colour / quantity / model. The goods we ordered from you on ..., order no. ..., have not yet been delivered. We regret to report that one of the crates of your consignment was badly damaged when it arrived on ... Much to our regret, we have to return your consignment.
Complaining about faulty or damaged goods
The consignment was incomplete. I am very unhappy with / about ... The situation is causing us a great deal of inconvenience. This standard of workmanship is not what we have come to expect of you. I feel you would wish to know about this.
Closing phrases for complaints
We hope to hear from you soon, that the goods will be sent immediately. I hope to receive a complete refund soon. I am sure you will look into this and find out what went wrong. Our order 123, dated 10 December, for 500 28" racing cycles
The above-mentioned cycles were delivered to us today. Thank you for sending them so promptly. Unfortunately, when we opened the container we found that 25 of the cycles were badly scratched. We think this is because they were poorly packed and handled roughly in transit. I am enclosing a photograph of the damage for your information.
Obviously, we will be unable to sell the cycles at the price agreed. We therefore suggest that we either return them to you, or that you grant us a price reduction of 25% on the damaged items. We look forward to receiving your comments in the very near future.
